NetSuite Purchase Order Email Automation: Automatically CC Multiple Supplier Contacts

The client

A Canadian food and beverage distribution group uses NetSuite to manage purchasing, finance and day-to-day operations. Its supply chain team needed every purchase order (PO) email to reach the right people at each supplier automatically — including buyers, accounts contacts and, where required, freight forwarders.

The challenge: NetSuite PO emails only sent to one vendor email address

NetSuite allows users to add CC recipients when emailing a purchase order manually. However, the automated PO email process only sends to the single email address stored on the vendor record. It does not automatically include additional supplier contacts in CC.

This created a recurring operational issue:

  • Staff had to manually enter CC email addresses for each PO.
  • Some teams forwarded purchase orders after sending them.
  • Important contacts could be missed, delaying order processing and supplier communication.
  • The process was inconsistent, time-consuming and difficult to control at scale.

The goal was simple: automate NetSuite purchase order emails so every supplier contact receives the PO on the first send.

Investigating the NetSuite email limitation

The first potential solution was to add multiple email addresses to the standard NetSuite vendor email field, separated by semicolons.

We tested this approach across every available method:

  • NetSuite user interface
  • REST API
  • CSV import

Each method rejected multiple email addresses. The vendor email field is platform-validated to accept only one email address, so there was no reliable workaround or import bypass available.

We also identified two important technical details:

  • The email field on a NetSuite transaction can accept multiple semicolon-separated email addresses.
  • NetSuite Workflow can add CC recipients, but only as fixed text. It cannot dynamically retrieve different CC addresses from each vendor record.

This confirmed that a custom, dynamic solution was required.

The solution: automated PO emails with dynamic supplier CC recipients

We created an unvalidated custom field on vendor and customer records to store additional email addresses for each supplier team.

The automated purchase order email process now:

  1. Uses the vendor’s primary email address as the main recipient.
  2. Reads the additional supplier email addresses from the custom field.
  3. Sends one purchase order email with those contacts included in a genuine CC field.

For NetSuite’s native “To Be Emailed” process, we also developed a second mechanism that adds the extra email addresses to the transaction-level email field before the PO is sent. This approach remains available for testing and future customer-facing document automation.

Results

The client’s purchase order communication is now fully automated.

  • Every PO reaches the supplier’s full team in one email.
  • The main supplier contact remains in the To field.
  • Additional buyer, accounts and freight contacts are automatically included in CC.
  • Staff no longer need to type addresses or forward purchase orders manually.
  • The risk of missed supplier contacts has been removed.

The solution was tested successfully on a live purchase order with a real supplier and documented in the client’s knowledge base for future reference.

Key takeaway

A feature that works manually in NetSuite is not always available through automation. When the NetSuite UI, REST API and CSV import all reject the same data format, the restriction is platform-level.

Rather than looking for an unreliable bypass, the right approach was to design around the limitation: store additional supplier contacts in a custom field and dynamically populate the purchase order email CC list.
