Signs your business has outgrown QuickBooks or spreadsheets

By 2 min read

Nobody decides to run a business on spreadsheets. It happens one workaround at a time. Here is how to tell when the workarounds have become the problem.

The signs

Your inventory number is never quite right. Stock counts live in a spreadsheet, the store, and the accounts, and they disagree.

Orders are re-keyed by hand. Someone copies orders from your store or marketplace into your accounting system. It takes hours and produces errors.

Month-end takes days. Closing the books means chasing numbers across several files and fixing mismatches.

You have a “master spreadsheet.” One file that everyone depends on, that only one person understands, and that breaks when they are away.

Simple questions need a project. “What is our margin on this product line?” or “What do we have on order from this supplier?” cannot be answered without pulling data together by hand.

Adding a channel, warehouse, or entity feels frightening. Because you know the current setup will not cope.

Growth makes things slower, not faster. More orders should mean more profit, not more manual work.

Why it happens

Accounting software is built to record what happened. It is not built to run operations. As a product business grows, operations become the hard part, and the tools were never meant for it.

What to do about it

You do not have to move everything at once. Start by listing every manual step between an order arriving and the money landing in the bank. Each one is a candidate to remove. Then decide whether the fix is a better integration, a better process, or a proper ERP.

How we help

We look at how your business actually runs, then tell you what to fix and in what order. Sometimes that is an integration. Sometimes it is NetSuite. Sometimes it is neither, yet.
